This Privacy Policy explains how Global Translation Services (“we”, “our”, “us”) collects, uses, stores, and shares information when you request quotations, submit documents, make payment, or use our services through WhatsApp, email, social media, our website, or any other communication channel.

This page is written for transparency and practical client understanding. It should not be treated as legal advice.

1. Information We Collect

To provide translation and related document services, we may collect your name, phone number, email address, submitted documents, payment confirmation details, invoice details, and communication history.

Submitted documents may contain personal or sensitive information, including identity numbers, addresses, academic records, employment records, certificates, legal records, medical certificates, or other details needed to complete your order.

2. How We Use Information

We use your information to review documents, provide quotations, translate, proofread, format, certify, coordinate notarization where requested, deliver files, confirm payments, issue invoices, handle revisions, resolve disputes, maintain service records, prevent fraud, and comply with legal or tax requirements.

We do not sell your personal information or documents to third parties.

3. Sensitive Document Handling

We treat identity documents, passports, educational certificates, police character certificates, medical documents, marriage documents, legal documents, and financial records as confidential.

Access is limited to people involved in processing, translating, proofreading, formatting, certifying, notarizing, printing, or delivering your order.

4. Sharing of Information

We may share documents or information only when necessary with translators, proofreaders, formatting staff, project coordinators, notaries, oath commissioners, legal professionals, certification providers, courier or printing providers, payment services, government authorities, courts, regulators, law enforcement agencies, or professional advisers.

Where possible, we share only the information needed for the relevant service.

5. Storage, Retention, and Deletion

Unless otherwise agreed, we may retain source documents, translated files, invoices, and communication records for revision handling, dispute resolution, legal compliance, accounting, fraud prevention, and internal record keeping.

As a general practice, source documents may be deleted within 30 days after completion unless longer retention is required. Final translated files, invoices, and order records may be retained for up to 7 years for business, accounting, and legal purposes.

You may request deletion of submitted documents, subject to legal, accounting, compliance, or dispute-related limitations.

6. Client Responsibility

By submitting documents, you confirm that you have the legal right to share them, that the documents are genuine and lawfully obtained, and that you have consent from any third person whose information appears in them.

We are not responsible for legal issues arising from fake, forged, altered, stolen, misleading, unauthorized, or unlawfully submitted documents.

7. Security Measures

We take reasonable steps to protect documents and personal information from unauthorized access, misuse, loss, alteration, or disclosure.

No online transmission, WhatsApp communication, email communication, cloud storage, payment platform, or electronic storage method is completely secure. We cannot guarantee absolute security for electronically transmitted data.

8. Third-Party Platforms

Clients often send documents through WhatsApp, email, social media, or cloud platforms. These platforms are operated by third parties and are subject to their own privacy policies and security practices.

We are not responsible for technical failures, hacking, platform outages, unauthorized access, or data handling practices of third-party communication, cloud, courier, payment, or social media services.

9. Marketing and Testimonials

We will not publicly display your private documents without permission. If testimonials, reviews, screenshots, or sample work are used for marketing, we will obtain permission or remove and blur sensitive personal information where appropriate.

10. Children’s Data

If documents of minors are submitted, the person submitting them confirms that they are a parent, guardian, institution, or authorized representative.

11. Your Rights

You may contact us to request a copy of your final translated file, correct your contact details, request deletion of submitted documents, ask how your documents are handled, or withdraw from a pending order before work starts, subject to our cancellation and refund policy.

12. Updates

We may update this Privacy Policy from time to time. The updated version applies from the date it is published, shared, or otherwise communicated.
